What’s Inside This Template

This meeting agenda template includes everything you need before, during, and after a meeting:

How to Use This Template

Step 1 — Download and open

Click the download button and open the file in Microsoft Word 2016 or later.

Step 2 — Update the header

Replace “Meeting Title Goes Here” in the blue banner with the name of your meeting, such as Q2 Marketing Review or Weekly Team Standup.

Step 3 — Fill in meeting details

Update the date, time, location, organiser, facilitator, and note taker fields in the details section.

Step 4 — Add attendees

Replace the placeholder rows in the attendees table. Mark each person as Required or Optional.

Step 5 — Set your agenda items

Replace the sample agenda items with your own topics. Assign a realistic time allocation in minutes and an owner to each item.

Step 6 — Share before the meeting

Export to PDF via File then Export then Create PDF and send to all attendees at least 24 hours before the meeting.

Step 7 — Track action items during the meeting

Fill in the action items table as decisions are made. Assign a responsible person and a specific due date to every action.

Best practice is to send the agenda at least 24 hours before the meeting. For longer or more formal meetings, 48 to 72 hours gives attendees enough time to prepare.

Yes. Click inside the last row of the agenda items table and press Tab to add a new row automatically.

Click directly on the Meeting Title Goes Here text inside the blue header table cell and type your own meeting name.

Yes. Save the completed template as a new file each time using File then Save As with a new date in the filename. This keeps your original blank template intact.

Yes, time allocations help the facilitator keep the meeting on track and signal to attendees how in depth each topic will be. Even approximate times are helpful.
